California Counseling Clinics is a Santa Barbara-headquartered therapy group transforming lives by providing timely, individualized and comprehensive mental healthcare services tailored to the needs and unique context of our community members.
We offer long-term therapy, brief therapy, group therapy, psychological assessments, Cognitive Behavioral Therapy and other Evidence-Based Practices and Solution-Centered Sessions.
We’re a young, but rapidly growing business focused on optimizing our Santa Barbara operations to scale to multiple new satellite locations in the next few years.
We look forward to welcoming a new Care Team Manager to help us achieve this.
The Care Team Manager will be responsible for helping us meet or exceed front desk metrics, streamline processes, onboard newly hired clinicians, and keep a pulse on the overall vibe at the clinic.
We’re looking for someone who balances a love of operations and systems with a caring and friendly customer service mindset.
As a solutions-oriented team committed to learning and growth, we all intentionally roll up our sleeves and pitch in to help the clinic collectively succeed.
You’ll have the opportunity to work directly with the CEO, where your contributions have a meaningful impact on the company’s growth potential.
You’ll be joining a mission-driven, collaborative team that genuinely enjoys working together and values ethics, engagement, and impactful care.
In this role, you will:
* Oversee the front desk operations, from managing Care Coordinators and holding weekly Care Team meetings to answering phones, scheduling bookings, checking insurance eligibility, and managing the waitlist.
You will be responsible for ensuring the Care Team meets or exceeds its target metrics.
* Take ownership of and streamline front desk systems, procedures, and file organization.
You will also become intimately familiar with our insurance contracts and coordinate with our biller.
* Assist in seamlessly onboarding new clinicians as they are hired, ensuring that they are up and running quickly in our business.
* Work as a team to warmly and effectively deliver high-quality care to all patients.
* Keep a pulse on what’s happening at the clinic and share insights with the team.
You’ll be a great fit for this role if:
* You exhibit professional and caring customer service skills, savvy technical and computer skills, and are willing to roll up your sleeves to answer phone calls or do all tasks as needed.
* You can intimately understand and explain our insurance contracts to patients, check eligibility, and coordinate with our biller.
* You enjoy contributing as part of a team, and understand that the metrics this role is responsible for are part of the foundational metrics for the company’s success.
* You like performance metrics and are motivated by hitting numerical targets with a high degree of correctness and attention to detail.
You’re good at spotting patterns and trends in operations and data, and you orient to metrics, systems, and details as allies and friends.
* You feel comfortable managing and overseeing the front desk staff.
It’s a huge plus if you’ve managed others before or previously worked in a similar role.
* You enjoy being in the weeds and helping create procedures for operations to flow smoothly with a positive, solutions-oriented mindset.
* You’re proactive, organized, and regularly take initiative and ownership where appropriate.
You also know how to ask for help when needed.
* You easily get along with most crowds, but also know how to kindly and professionally set boundaries.
You’re empathetic and aware of what’s happening broadly in the space around you.
